Introduction
The following amendments and enhancements have been made to CASHdata/FINANCIALdata. Please read this document carefully there are some important changes.
Maintenance Routines
The following items have been added to the Business Parameters:
i Verify Cheque Numbers - This allows you to turn on or off the mechanism for checking Cheque Numbers for uniqueness when you enter a new Payment Transaction.
ii Generate Cheque Numbers - When you enter a new Payment Transaction the system can automatically allocate the next Cheque Number for you.
iii Other Descriptions on Reports - This specifies whether the Analysis Reports will show the Description from the Transaction in place of the Description of the Analysis Code.
Transactions
i You can now change the Analysis of a Transaction which is in a closed period. Any changes made may have an impact on the Vat Report for the Period that the Transaction is in.
Month End
i In Bank Balances the current Cash in Hand is now shown.
ii The Bank Reconciliation now shows the Month in progress.
**** Year End ****
i As part of the Year End process a copy of the data is automatically made so that you will have access to last years figures.
The Opening Balances, Valuations, and Closing Creditors and Debtors for the Year End are drawn from the section called ‘This Year’ and NOT from a particular Budget Set.
Budgeting
This section contains the options that were previously under Budgets and Closing.
i For each Budget you can now specify whether they have their own Opening Balances and Valuations. If they don’t have their own Opening Balances or Valuations then the Financial Calculator will use the figures from the section called ‘This Year’.
ii The option called ‘Last Year’ has been replaced by ‘Opening Balances’ and entries are now only required for the following:
Liabilities 800 - 899 Plant and Machinery Depreciation 6AA
Assets 900 - 999 Buildings Depreciation 6BB
The Opening Bank Balance (9AA) and Cash in Hand (9BB) can also be entered in this section.
This Year
This new section contains Opening Balances, Valuations and Closing Creditors and Debtors for the Current Year. These are the figures that are used in the Year End.
Financial Calculator
i The 2 columns on the Profit and Loss have been swapped and renamed to Forecast/Actuals and Comparison. The figures in both columns are now for the same number of Periods.
ii The Balance Sheet now has 3 columns Opening, Forecast/Actuals and Comparison.
Utilities
i This now contains the option to Copy a Budget which was previously located under the File Menu.
ii When you Create a Template you can now the include Names & Addresses.
Backups
i This has been changed and no longer makes use of the Backup Routines shipped with Windows.
Installation
Ensure you have an up to date backup of the application being updated.
If the update has been issued on CD-ROM:
Insert the CD into the CD-ROM drive. On systems with autoplay enabled, the installation menu will be displayed. If this is not the case choose Start and then Run and enter:
[d]:\setup where [d] is the drive letter of the CD-ROM.
Before any files are copied you may be asked for an Activation Key. This is the number which appears on the Certificate of Licence and Authenticity which was issued with the last CD-ROM.
Process Complete.
