Introduction

The following amendments and enhancements have bee implemented in the UNIX and MS-DOS versions of the PAYdata system. The update can be installed immediately, and this is our recommendation.

Content

Tax Credits

Starting this year, the use of Tax Credits became more frequent. This highlighted a failing in the existing implementation which could not handle a new Tax Credit starting in the same pay period as a previous one ended. This is often the case when daily rates are changed, for example. Although the system always caught up with itself in the next pay period, it was inconvenient, particularly in Monthly/4 weekly payrolls. Also, many Tax Credits are now issued with no end date. Again the system could be manipulated, with an end date far in the future.

In the specification of Tax Credits in Employee Records there are the following changes:

End Date

This should be left blank when no such date is provided by the Inland Revenue (IR). The system displays ">>UFN<<", (Until Further Notice), in such a case. Once a termination date is received from IR, the entry must be amended accordingly. In the case of a rate change, this will be the last date payable at the existing rate. A fresh Tax Credit entry must always be created for a new rate.

Total

When there is no End Date, the Total Value of a Tax Credit cannot be displayed.

In the Payroll Run, ALL Tax Credits active in the period being paid will be applied.

Tax Letter A and H

As of 6th April 2004, these Tax Letters will no longer be valid.

NI Rebates

These only apply to the Contracted Out NI table letters. The reporting and presentation requirements has been modified as of this Tax Year in as much as the EE and ER NI Rebates are now rolled into the EE and ER contributions respectively. Thus, in all printouts the Rebates have been deducted from their respective Contributions Total. The values are still displayed separately in Employee Records at this time.

End of Tax Year Routines

P14/P60s

There is a revised layout starting this year, ie boxes for SPP and SAP and revised presentation of NICs (see above). The specific stationery required is P14 (Continuous-Portrait)(2003-2004). This is available now.

P35 Continuation Sheet

The layout has been revised slightly to more match the official forms. A sheet of various totals required for the completion of the P35 follows the Continuation Sheet run. Note that this Totals Sheet is for local use only and must not be sent away with Continuation Sheets.

Pay Year 2004/2005

There will be no additional update for Paydata required for the forthcoming pay year. There are table changes for Tax and NI. You will be sent the usual notification in March.

2004/2005 End of Year Return

There has been various publicity regarding On-line Returns and incentives. We are in an ongoing process regarding this development. For example, facilities for on line testing will not be available until this summer. It is our intention to provide the necessary facilities to make the on line returns. April 2005 is when the first such return can be made.

INSTALLATION

DOS Users

At the C:\> prompt, insert the disk and enter: A:INSTALL

Windows 95/98/XP users

Select START ÿ RUN

then enter A:INSTALL

UNIX Users

1. login to payroll (ie not under your own user name)

2. Get to the $ prompt (X or U from the main PAYdata Menu)

3. Insert the disk

  • 4. Enter: tar xv

  • 5. 2 files will be extracted

  • Enter: ./install

  • This unpacks the update and fully installs it.

    Users failure to implement the update for any reason.

    The results of any errors occurring during the update, not notified immediately to ourselves.

    Users failure to implement previous updates or to incorporate any required NI/PAYE changes, whether notification was received from ourselves or not, and the results thereof.

    Users failure to keep adequate numbers of complete backup sets should, for whatever reason at whatever time, it prove necessary to resort to restoring a backup. Any work required on the part of FARMdata to "rescue" data etc, is chargeable under these circumstance.
