Introduction 

The following amendments have been made to the Windows version of Paydata to address various issues that have been identified.

Content

1.         Payroll Run

a.         If the Payroll Run broke down during the updating of Employee Records, and the update process was then restarted, it was found that the cumulative figures in Employees’ Records were often ‘doubled’ up. Steps have now been taken to prevent this from happening. The update process now creates a temporary backup of all data before it commences. If interrupted, it will now either resume from where it had reached, if it is safe for it to do so, or it will restart at the beginning, having restored its temporary backup.

b.         Once you start the Payroll Run, and enter Wages for any Employee, if you suspend the run and then go back in, you can no longer change the ‘Tax Week’. Changing the week renders the existing calculations invalid so it is now prevented. If you have entered the wrong week number, you must delete all employees entered thus far and then suspend and resume the run. As no one is then flagged as paid, you can then change the week number.

c.         After a Payroll Suspend, if you have entered Wages for a particular Employee, you can no longer enter or amend any Exception for that Employee as that has a direct impact on their wages calculation. If, for example, you do need to record someone as a Leaver and their Wages have been entered, then you will need to delete them from the Payroll Run first. Note, however, that Entry of Holiday Dates is not subject to the same restrictions as it does not impact the wages calculation.

d.         If you recorded an Employee as Leaving during the Payroll Run, under various circumstances, the system would not let you pay them in that run.

e.         When you amended an Addition or Deduction in the Payroll Run, you had to re-enter the Cost Code.

2.         Payslips

a.         If an Employee was paid part of their wages in Cash, the amount was not correctly shown on their Payslip.

b.         If an Employee paid Additional Voluntary Contributions (AVCs), although the relevant amount was being deducted from their wages, the payslip did not show the values at all.

3.         Wages Analysis Reports

a.         If an Employee was paid part of their wages in Cash, these reports did not show this correctly.

b.         These reports are now in Employee Number order.

c.         These reports now show the Payment Date at the top.

4.         Employee Records

a.         If you recorded an Employee as Leaving in the Payroll Run, and suspended the run, Employee Records showed them, incorrectly, as having    Left (they should not be considered as left until the Payroll Run is complete). Also, you were unable to amend their record.

5.         Maintenance

a.         If you added a new Addition or Deduction, and you had more than 9, the system would overwrite an existing one.

Installation

If you have been sent a CD, then simply insert it and choose the Paydata Program from the menu.  Otherwise you should download the update from the web within Paydata.  (Help → Download Latest Update).
